Information We May Collect

Depending on the application and applicable membership pathway, Apache Bronco may collect identity and contact information; membership information; family, historical, and community information voluntarily supplied by the applicant; authorized reference information; application responses; acknowledgments; electronic signature information; correspondence; clarification provided during review; and relevant administrative notes.

The initial public application does not collect a membership photograph or highly sensitive identity documents. If a photograph or sensitive supporting documentation is later legitimately required, Apache Bronco should request it through a separate authorized secure process appropriate to the sensitivity of the information.

Sensitive Membership Information

Some membership information can be particularly sensitive, including information relating to ancestry, ethnicity, family lineage, Native or Indigenous affiliation, photographs, and private family history. Apache Bronco should limit collection to what is reasonably relevant to membership administration and restrict access to authorized individuals.

Do not submit highly sensitive identity documents through the ordinary public membership form.

How Information Is Used

Apache Bronco may use membership information to receive and process applications; evaluate approved membership criteria; determine the applicable organizational membership pathway; communicate with applicants; contact authorized references; verify material information; request clarification; administer membership; maintain membership records; process reconsideration or appeals; administer suspension or revocation matters; produce or administer membership credentials after formal approval; protect organizational integrity; protect people, records, property, and confidential information; maintain appropriate historical and administrative records; and comply with applicable legal obligations.

Membership information should not be used for materially unrelated purposes without appropriate notice and authorization where required.

References

Applicants should provide only references who have agreed to be contacted. Reference information is collected to support legitimate membership review. Apache Bronco should identify itself when contacting a reference and explain the membership-review purpose of the contact.

Reference information must not be publicly published merely because the reference participated in the review and should be handled with appropriate confidentiality.

Membership Photographs

The initial public application does not accept a photo upload. If a membership photograph is later required, Apache Bronco should provide an authorized secure process.

Internal membership use and public use are separate permissions. Authorization for an ID photograph does not automatically authorize public publication, and declining public use should not by itself negatively affect membership consideration.

Supporting Documentation

Apache Bronco may sometimes request additional supporting information when reasonably necessary to complete membership review. Highly sensitive identity records must not be collected through the standard public form. When sensitive documentation is legitimately necessary, Apache Bronco should provide an authorized secure process appropriate to the sensitivity of the information.

Who May Access Membership Information

Membership information should be accessible only to authorized Apache Bronco personnel, reviewers, or service providers who have a legitimate organizational need for access. Access should be limited according to role and purpose whenever reasonably practicable. Membership information must not be made publicly searchable.

Service Providers

Apache Bronco may use website hosting, form-processing, communications, security, technical, printing, mailing, or other authorized service providers where reasonably necessary to administer membership. Service providers should receive only information reasonably necessary to perform the authorized function.

Apache Bronco does not make unverified claims about specific security certifications, encryption standards, audit results, or compliance certifications.

Disclosure

Apache Bronco should not disclose membership information to unrelated third parties except with appropriate authorization; when reasonably necessary to provide an authorized service; when reasonably necessary to protect legitimate rights, safety, property, records, or organizational interests; or when required by applicable law, legal process, or lawful governmental request.

Data Minimization

Apache Bronco should collect only information reasonably necessary for legitimate membership administration, verification, safety, recordkeeping, credentialing, and organizational purposes. Information should not be collected merely because it could potentially be useful later.

Security

Apache Bronco should use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information being handled. No website or information system can guarantee absolute security.

Retention & Destruction

Membership information should be retained only for as long as reasonably necessary for legitimate membership administration, organizational recordkeeping, credential administration, reconsideration or appeals, disputes, safety and integrity matters, preservation requirements where appropriate, and applicable legal obligations.

Apache Bronco should adopt an internal retention schedule. Information no longer reasonably required should be securely deleted, destroyed, anonymized, or otherwise handled under the adopted retention practice, subject to legitimate preservation and legal requirements.

Applicant & Member Requests

Applicants and members may contact Apache Bronco regarding corrections to membership contact information, questions about membership records, photograph or public-use permissions, appropriate updates to membership information, and privacy questions. Requests remain subject to legitimate recordkeeping, verification, preservation, dispute, safety, and legal requirements.

Changes to This Notice

Apache Bronco may update this Membership Applicant Privacy Notice as membership practices, technology, organizational requirements, or applicable law evolve. Material changes should be reflected on the website with an updated effective or revision date.
